Setting up Collectors

Setting up Collectors

A collector is a payment service that takes premiums from members for the society, such as Orange Money, MyZakaPay or a prepaid vendor. Once a collector is set up, its system sends every payment it takes straight into BurialPro. Each payment becomes a member receipt at once, with no spreadsheet to import.

Open BurialPro → Settings → Collectors.

Before you start: one account per collector

In Banking → Bank Accounts, create an account for each collector, for example "Orange Money Collections".

  • Set its Bank Charges Account. The collector's fee on each payment is booked there.
  • If you leave it blank, the company's bank charges account from GL Setup is used.

Add a collector

  1. Fill in the collector:
  2. Name: for example Orange Money.
  3. Pay Point: the pay point its members pay through. Orange Money, MyZakaPay and Prepaid are all in the list.
  4. Payment Method: usually Mobile Money. Receipts are recorded under this method.
  5. Deposit Account: the collector's account from the step above. This is the same "Bank per Pay Point" setting the payments import uses.
  6. Test mode: tick it at first. The collector can then try every call while nothing is recorded.
  7. Allowed IP addresses: optional. The collector's server addresses; blank accepts any.
  8. Click Add Collector.
  9. The API Key and Secret appear once. Copy both straight away.
  10. Send the collector three things:
  11. the API address shown at the top of the tab;
  12. the API key;
  13. the secret.

Send them over a secure channel, together with the link to the Collector API documentation page. 5. When the collector has finished testing, untick Test mode and click Update Collector. Payments are recorded from then on.

What a payment does in the books

A member pays P150 through Orange Money and Orange Money keeps P3:

Member Receipt for P150.00: arrears, prepayment limit, SMS receipt and reinstatement all work as for a counter receipt.
Orange Money Collections account +P147.00
Bank charges +P3.00

The balance of the collector's account is what the collector owes the society. When the collector pays it over, record a Funds Transfer from the collector's account to your bank account.

The collector cannot post a payment for a member who is deceased, terminated or rejected, beyond the prepayment limit (Settings → Rules), or into a closed period. Those payments are refused and listed with the reason.

Keys and addresses

Button What it does
New Secret Issues a new secret for that collector. The old one stops working at once. Use it if a secret is lost or leaked.
Inactive Stops that collector without deleting anything.
Delete Only for a collector that never sent a payment.
New API Address Replaces the address for every collector. The old address stops working at once. Use it only if the address itself has leaked.

See every payment collectors sent in BurialPro → Collector Payments.
